Office and Program Manager

Reports to: Director, Center for Pastoral Education
Position Status: Full Time/35-hour work week
Pay Rate: $62,000 per year

Description of the Position:

The Office and Program Manager is a multi-faceted administrative position supporting the top-level leadership of the Center for Pastoral Education. An integral member of the Center’s team, the Office and Program Manager provides critical administration at a premier institution for clinical training and spiritual care education.

The Manager serves as a warm and welcoming presence for students and visitors while managing a broad range of responsibilities. This position oversees admissions and data management for JTS’s Clinical Pastoral Education (CPE) program and supports admissions and advising for the newly launched Master’s in Spiritual Care and Counseling. Additionally, the Manager serves as the primary administrator for the day-to-day operations of the Center for Pastoral Education.

Duties/Responsibilities:

The duties listed below reflect the core responsibilities of the role, though they are not exhaustive and
may vary in frequency depending on the needs of the Center.

Center Operations and Communications:

  • Serve as the first point of contact for the Center, providing responsive and welcoming support to students, guests, and clinical partners
  • Provide administrative support to the Director of the Center for Pastoral Education as well as CPE and Spiritual Care and Counseling faculty
  • Interface with other internal JTS departments and with external partners to coordinate resources and advance the work of the Center and JTS
  • Work with Director to plan and implement public and educational events

Clinical Pastoral Education Internship Program:

  • Manage admissions process including collecting and managing applications, corresponding with new applicants, and scheduling interviews
  • Maintain files and collect student data as required by our accreditation organization, ACPE: Association for Clinical Pastoral Education
  • Manage contracts, clinical site placement agreements, and letters of agreement with students, Contract Educators, guest speakers, and vendors

MA in Spiritual Care and Counseling:

  • Work collaboratively with the JTS Admissions Office to process inquiries and admissions
  • Track student progress towards degree completion
  • Provide support for student advising

Finance and Development:

  • Administer budgets of programs and grants, including tracking expenditures, spending projections, soliciting information from program heads
  • Provide financial management (process invoices, stipends, expense requests, contracts, check requests)
  • Assist with development of grant reports

Minimum Requirements

  • Bachelor’s Degree Required
  • Technologically savvy, including high proficiency with Microsoft Office, Google Suite, and Zoom, and eager to master additional programs used by JTS
  • Strong Interpersonal skkills, with demonstrated ability to provide compassionate support to students from diverse backgrounds
  • Highly organized and detail-oriented, with strong time management and multitasking abilities
  • Proactive and discreet, able to exercise initiative and maintain student confidentiality
  • Strategic thinker with planning and coordination experience
